SiftSpot is the public service identity operated by Christopher A. Benson, a sole proprietor. This notice describes information handling for the SiftSpot website, SiftSpot resource-request and optional marketing-signup features, the Ask SiftSpot question-submission feature, and the Florida Venue Record Monitor service. Product-specific practices are identified where relevant.

Information handled

Resource requests and optional marketing signups. When you request a SiftSpot resource such as the Public-Record Prospect Research Checklist, SiftSpot may collect your first name, work email, optional company or agency, the resource or offer requested, the page, form, or call-to-action that led to the request, and limited allowlisted campaign attribution such as UTM source, medium, campaign, or content and referrer host or path. SiftSpot also records operational status needed to administer the request and any separate marketing choice, including fulfillment or lifecycle status, marketing-consent state, the consent wording or version and affirmative timestamp and source when consent is given, and later unsubscribe, withdrawal, or suppression status and timestamps.

Ask SiftSpot. When you use Ask SiftSpot, SiftSpot collects the question you submit, the reply email you provide, any optional context or source link you provide, and the state of any optional consent you select. SiftSpot may also process limited technical request information reasonably needed to validate the form, prevent abuse, maintain security, and troubleshoot the submission workflow. The reply email is required so SiftSpot can respond to the submission. It is private and is not displayed publicly.

Florida Venue Record Monitor. For an account or trial, the service may handle the customer’s agency/company name, business contact name, business email, selected Florida county count and canonical county list, terms-acknowledgment time, optional acquisition source, account/billing state, delivery history, and service-support correspondence. Stripe handles payment-method, verification, invoice, payout, and other processor-required information in its own controlled systems.

The Florida Venue Record Monitor processes selected public business records, including business or DBA name, business location, county, ZIP, license/record fields, source dates, and source references. It deliberately excludes owner names, phones, mailing addresses, and email fields from normalized source output when present in an extract. AB&T daily activity is retained for reference/audit only and is not customer-visible.

How SiftSpot uses information

Resource-request information is used to deliver and administer the requested resource, maintain fulfillment, consent, unsubscribe, and suppression records, measure source and campaign performance through first-party attribution, prevent duplicate or abusive requests, investigate security or data-integrity issues, resolve disputes, and satisfy legal obligations. Requesting the checklist or another resource does not itself enroll you in marketing. SiftSpot uses the submitted email for SiftSpot research, product updates, or promotional email only when you separately make the affirmative marketing choice. If you do not make that choice, SiftSpot uses the email for the requested-resource fulfillment and other strictly operational communications needed to complete or administer that request, not promotional nurture.

Ask SiftSpot submissions are used to receive and validate the submission, screen for spam or abuse, review and triage the question, send a direct response, maintain the consent and editorial record needed for the workflow, investigate security or data-integrity issues, and satisfy legal obligations. Visitor-submitted text and links are treated as untrusted input and are not automatically treated as factual sources.

A question submission is private by default and is not automatically published. SiftSpot does not use the act of submitting a question as permission to send promotional or marketing email.

For Florida Venue Record Monitor, information is used to provide the selected-county monitor; create and deliver the current weekly customer package; operate trial and billing state; respond to support/privacy requests; prevent misuse; maintain security; record attribution; investigate exceptions; and satisfy legal obligations. Optional acquisition-source attribution is used for internal reporting and does not by itself authorize marketing communications.

Optional publication of Ask SiftSpot questions

Ask SiftSpot includes a separate optional publication-consent checkbox that is off by default. If you select it, SiftSpot may, after human review, publish a cleaned, anonymized, and edited version of your question together with a SiftSpot-written or SiftSpot-verified answer. Before public use, SiftSpot will remove the reply email and will not intentionally publish private contact information from the submission. SiftSpot may edit wording for clarity, brevity, duplication, safety, or editorial consistency.

Selecting publication consent is not required to submit a question and does not sign you up for marketing.

If you do not select publication consent, SiftSpot will not republish your submitted wording or publicly attribute a question to that submission. SiftSpot may independently research the same topic using authoritative or otherwise appropriate sources and may publish its own independently developed content about that topic.

Optional marketing communications

Question submission does not constitute marketing consent, and publication consent does not constitute marketing consent.

Marketing consent is separate from a resource request, an Ask SiftSpot submission, and Ask SiftSpot publication consent. The marketing choice is optional and off by default. If you affirmatively choose it, SiftSpot may record the email address, consent scope, consent wording or version, source or form, timestamp, and later preference or opt-out state needed to administer that choice and document compliance. A repeat resource request does not erase a prior unsubscribe or suppression state. A previously unsubscribed or suppressed address is not returned to active marketing status without a fresh affirmative re-subscription event.

Promotional email will include an unsubscribe or other legally compliant opt-out method. SiftSpot will process opt-out requests as required by applicable law and may retain a minimal suppression record reasonably needed to avoid sending future promotional email to an address that has opted out.

Providers and disclosures

SiftSpot may use Render for hosting, Resend for requested-resource and transactional email and, when separately consented and operationally enabled, promotional email, Stripe for Florida Venue Record Monitor checkout/billing/customer portal, and Cloudflare R2 for encrypted backups where that backup function is enabled. A provider receives information needed for its enabled function through the applicable controlled account configuration. SiftSpot may also disclose information when required by law, to protect the service or users, or to investigate or resolve a security, abuse, fraud, or data-integrity incident.

Retention

Florida Venue Record Monitor retention remains:

Ask SiftSpot private submissions, including reply email and optional context, are retained only for as long as reasonably necessary to respond to the submission, moderate or investigate abuse, preserve the applicable consent state, complete any human editorial review, maintain a reasonable audit trail for the use made of the submission, resolve disputes or security issues, and satisfy legal obligations. When those purposes no longer require the identifiable submission, SiftSpot may delete it or de-identify it.

If an Ask SiftSpot question is used publicly with publication consent, the cleaned/anonymized public question and SiftSpot answer may remain as editorial content. Private reply email and unnecessary private context are not retained merely because the public editorial content remains. A consent record may be retained for as long as reasonably necessary to document the public use it authorized.

Resource-request, marketing-consent, and opt-out records may be retained for as long as reasonably necessary to deliver and administer the requested resource, maintain a reasonable request and fulfillment history, measure acquisition source and campaign performance, document consent or withdrawal, and maintain suppression records needed to honor opt-outs. When identifiable data is no longer reasonably needed for those purposes, SiftSpot may delete or de-identify it. Minimal suppression records may be retained for as long as reasonably necessary to prevent future promotional email to an address that has opted out.

Retention may be extended where reasonably necessary for a legal hold, dispute, security investigation, fraud/abuse investigation, or other lawful requirement. Deleted information may remain in rolling backups until the applicable backup is overwritten or expires.

Security and submission limits

SiftSpot uses administrative and technical safeguards appropriate to the service and the information it maintains, including access controls and server-side protections for visitor submissions. Access links used by Florida Venue Record Monitor use opaque, hashed, expiring tokens. Provider secrets are kept in secret storage and are not placed in source control or Drive. Where Cloudflare R2 backup storage is enabled, backups are encrypted before upload. No security measure or system can guarantee absolute security.

Do not submit Social Security numbers, financial-account credentials, passwords, identity documents, medical information, or other unnecessary sensitive personal information through Ask SiftSpot. Optional context and source links should contain only information reasonably needed to understand the question.

Public sources used by SiftSpot may be incomplete, delayed, corrected, unavailable, or changed by the source agency. Visitor submissions and visitor-supplied links are not treated as authoritative evidence solely because they were submitted.

Requests and contact

Privacy questions and requests may be sent to operations@siftspot.com. A requester may ask SiftSpot to locate, correct, or delete a private Ask SiftSpot submission, or to withdraw publication permission for future use. The requester may need to provide the reply email and approximate submission date or other reasonable information needed to locate the record.

SiftSpot will evaluate and respond to privacy requests consistent with applicable law, the status of any already-published anonymized/edited material, and legitimate legal, security, dispute, audit, or suppression-record needs. Where applicable law gives a person a specific privacy right, SiftSpot will handle the request as required by that law.

Do not send a Social Security number, bank information, password, identity document, or other unnecessary sensitive information by email when making a privacy request.

Florida law governs this notice, subject to applicable mandatory law.
